Export accounting import files
Prepare supported invoice, bill and payment files for a business that is not using live accounting sync.
Prepare supported invoice, bill and payment files for a business that is not using live accounting sync.
Before you start
Availability: Plan and role requirements vary. Enabled business features, role permissions, connected providers and supported devices may add requirements.
Documented roles: Owner, Office. A role name alone does not override the permissions set by your business.
Where to find it: Export accounting import files.
Check money visibility and export permission, the active business, date/search filters and accounting package. Preserve a backup and review mappings in the target package.
Using this guide in United States
- Choose your business country when creating a new account. For an existing business, check the country in Business settings before entering addresses or preparing documents. Some country changes are unavailable for existing businesses, even when new accounts can sign up in that country. Changing the public website region does not change your business settings.
- Check the business currency (USD), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
- Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.
Step by step
- Open Invoices or Supplier bills, set the intended filters and choose the plain AllQuote export or the supported Xero/MYOB accounting layout.
- Use the invoice or bill file for supported issued documents. Review excluded drafts, component-tax invoices, refund cases and supplier credits separately.
- For Xero payment exports, import the bank-statement lines into the intended bank account and reconcile them there; the file does not directly mark invoices paid.
- MYOB transaction files target AccountRight desktop service-layout import, not MYOB Business browser transaction import. Check account codes and tax mappings before import.
- Review the provider import preview, imported records and reconciliation. Keep the original file and avoid importing a transaction again if live sync has already created it.
Worked example
Export a fictional receipt as a Xero bank-statement line, import it into the intended bank account and reconcile it to the existing invoice. The statement import alone does not mark that invoice paid.
This is an illustrative scenario. Use your own approved scope, quantities, rates and business rules.
Check the result
Reopen the original record or confirmed result, check its business and key values, and resolve any error or uncertain response before repeating the action.
Limits and troubleshooting
File generation is not an executed provider import or reconciliation. Supported layouts omit incompatible records; do not infer complete books from an exported row count.
