Privacy Policy

AllQuote (ABN 58 655 983 737) (“we”, “us”, “our”) operates AllQuote. This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (“APPs”).

We use personal information to: provide, maintain, and improve the Service; generate and store your quotes; authenticate you and secure accounts; process billing; send service, verification, password-reset, and account communications; provide support; and meet legal obligations. We do not sell your personal information.

We also produce de-identified, aggregated insights from pricing data (such as average labour rates and common material prices by trade) to improve quote suggestions and provide benchmarks. Aggregated benchmarks are shown only where enough separate businesses have contributed that no individual business's prices can be identified.

3. AI processing

To generate quotes, the job notes you submit may be sent to a third-party AI provider for processing. We send only what is needed to produce the quote. Do not enter information you do not wish to be processed in this way.

3a. Location data (crew live location)

AllQuote includes an optional crew location feature. When you enable location sharing, we collect your device's precise location — including in the background, while the app is closed or not in use — and share your live position with others in your team. We use this location data for operational job features: accurate timesheets, crew map dispatch, and on-the-way customer updates (for example, to record on-site time, see who is closest to a job, or share an accurate "on my way" arrival).

Background location is collected only while you have location sharing switched on. You choose whether to turn it on, and you can turn it off at any time in Settings (or by revoking the location permission in your device settings), which stops further collection. We do not use crew location for advertising, and we do not sell it.

Live location is shared only within your own team. Location data is retained only for as long as needed to provide the feature and is deleted when you turn off location sharing, when it is superseded by newer position data, or when you delete your account (see section 8).

4. Disclosure to third parties

We disclose personal information to service providers who help us operate the Service, including: payment processing, AI processing, email delivery, and hosting and infrastructure. We require these providers to protect the information and use it only to provide their services to us. We may also disclose information where required or authorised by law.

5. Connected apps and integrations (you control these)

You can choose to connect third-party applications to your account — for example automation platforms such as Zapier, or accounting software (Xero, MYOB, QuickBooks). When you authorise a connection, you grant that app access to specific data in your account (such as your clients, jobs, quotes, or invoices) so it can perform the automations or sync you set up. We share only the data covered by the access you grant.

When you authorise a connection you also choose which categories of data it may access (clients, jobs, quotes, invoices) and whether it has read-only or write access, so you share only what you intend. With write access, an app can create or update records (such as clients, jobs, quotes or invoices) and record payments on your behalf.

Where you have connected accounting software (such as Xero, MYOB or QuickBooks), some records in your AllQuote account — for example client contact details and invoice payment status — may have been synced from that software. If you then connect another app (such as Zapier), that app may receive those records too, as part of the data categories you share.

These apps are operated by third parties under their own privacy policies and terms, and some — including Zapier — store or process data on infrastructure located in the United States or other countries. You can disconnect a connected app at any time from Business settings → Connections in AllQuote (which revokes its access immediately), or from within that app (for example, in Zapier); and deleting your account removes our access tokens for any connected app. Because the data shared often includes your customers' personal information, you are the one making that disclosure: you are responsible for the integrations you enable, for having the right to share that data, and for the data the app receives once it leaves AllQuote.

6. Overseas disclosure

Some of our service providers store or process information outside Australia — including in the United States (see the sub-processor list in section 4). Where this occurs, we take reasonable steps to ensure the information is handled consistently with the APPs. Where you connect a third-party app, you may also be disclosing personal information overseas under that app's own terms.

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure (including encrypted transport and hashed passwords). No system is completely secure, and we cannot guarantee absolute security.

8. Retention

We retain personal information while your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You can permanently delete your account and associated data at any time from Settings → Delete account in the app, or from allquote.com.au/delete-account (no login needed — we email a confirmation link), or by contacting us — subject to records we are required to keep.

9. Access and correction

You may access and correct much of your information directly in the app. You may also ask us to access or correct your personal information by contacting us. We will respond within a reasonable time and may need to verify your identity.

10. Cookies and analytics

We use a session cookie that is strictly necessary to keep you logged in. We also use Google Analytics to understand how the Service is used (for example, which features are popular and where errors occur); this sets analytics cookies/identifiers and may involve Google processing limited usage and device data on our behalf. We use this for product analytics only — we do not use advertising or social-media tracking pixels, and we do not sell your data or use it to target ads. You can block analytics cookies in your browser without affecting your use of the Service.

12. Changes to this policy

We may update this policy from time to time. We will post the updated version here with a new effective date and, where appropriate, notify you.
