Create, recover and send a quote on mobile

Build a manual quote, check the original save, review the customer copy and deliberately send or share it.

Before you start

Select the intended business and check that your Office role permits quote creation and sending. Have the customer, scope, quantities and prices ready to review. A Field seat or payment-collection permission does not grant quote authoring. This guide covers a one-off manual quote, not AI generation or a recurring agreement.

Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.

Step by step

  1. Choose New quote from the available job or quote controls. In the Takeoff workspace, open Quotes and choose New quote. To change an existing quote, open its record and use Edit quote where offered instead of starting another.
  2. Check the document type and choose the manual builder. If the screen offers Quote without AI, select it; otherwise the manual fields may already be open. Select the correct client and give the work a recognisable name.
  3. Enter the Scope of work and Terms. For itemised pricing, use Add line item and review each description, quantity and rate; Add from price book uses your available saved items. Use Fixed price only when you intend one agreed amount rather than an itemised breakdown.
  4. Review the total, business currency and tax treatment. Check any Deposit to commence setting against what you agreed with the customer. Resolve tax or price-review messages before sending; do not guess a rate to bypass a refusal.
  5. Tap Save quote once and read the result. A saved-on-device or waiting-for-confirmation message is not a confirmed server quote. Use Quote save and Check original save where offered; once confirmed, Open original quote returns to that record.
  6. Reopen the saved quote and check its customer, scope, lines and total. In the Takeoff Quotes register, expand the record and choose Send or share quote. In a job-linked workflow, use the quote sending action offered on that job.
  7. On Send quote, choose Share a link to select an available sharing method, or Email to customer to use the stored address. Check the recipient and confirm Send only when you intend delivery. Read the response and verify the original quote’s state afterwards.

Worked example

An office user quotes a small repair using measured quantities and reviewed unit prices. The first save loses its reply, so they check the original save and reopen the confirmed quote. They correct the customer email before deliberately sending it; they do not create a second quote to recover the first.

This is an illustrative scenario, not a customer testimonial.

Check the result

Check the original quote number, customer and saved content. A share sheet opening or a Sent label is not proof that the customer received or accepted the quote. Quote acceptance and invoice creation are later, separate steps.

Limits and troubleshooting

  • Keep earlier save and start a separate quote is for genuinely different work, not an uncertain-save retry. Preserve saved details and pending option photos; check the original operation and Sync centre before clearing app data or creating another record.
  • Manual saves can queue offline, but emailing needs signal. Sharing an existing link and updating its Sent status can finish at different times. If sending is uncertain, check the original record before deliberately trying again; sending is never implied by saving the draft.
  • If Edit quote is unavailable on an accepted or otherwise closed record, use the supported revision or variation workflow rather than replacing the customer’s agreed document. Missing controls or a refusal require the owner to check permissions and business access.
  • Use the business’s reviewed tax policy, not the phone location or this guide’s regional URL. US and Canadian documents may need classification in the authorised web workspace before issue; the linked contract-tax companion describes a specific agreement handoff, not a universal button on every quote.
  • A standalone Takeoff quote is not a job. Creating a job from it is a separate action with its own limits; do not create a job just to recover or send the quote. Recurrence, advanced customer choices and AI tools have separate access and are outside this walkthrough.

Business settings in United States

  • Set your business country in Business settings before entering customer addresses or preparing documents. The country selected on the public website does not change an existing business.
  • Check the business currency (USD), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
  • Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.
  • Review a draft document with a known subtotal and expected tax before sending it. New US and Canadian documents require a reviewed business tax policy and explicit line treatments. This component calculation uses before-tax amounts; tax-inclusive and tax-on-tax calculations are not supported. A document display preference does not replace tax classification; address entry is not an automatic determination of which taxes you owe.
  • For work across states, provinces or tax jurisdictions, have your accountant confirm the required rates and treatment. Do not assume one business default covers every job or that selecting a state or province calculates its tax obligations.
