Crew capacity

Stores bookable minutes per crew member so dispatch can reason about how much work fits in a day.

Use bookable minutes to make the working time available for each crew member explicit.

Before you start

Availability: Enterprise plan and above. Enabled business features, role permissions, connected providers and supported devices may add requirements.

Documented roles: Owner, Office. A role name alone does not override the permissions set by your business.

Where to find it: Work > Business Planner > Crew capacity.

Confirm the selected day, worker availability and time reserved for other duties. Use realistic planned durations.

Using this guide in New Zealand

  • Set your business country in Business settings before entering customer addresses or preparing documents. The country selected on the public website does not change an existing business.
  • Check the business currency (NZD), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
  • Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.

Step by step

  1. Open Business Planner at /dispatch.
  2. Open the capacity controls for the crew member or day being planned.
  3. Set the available/bookable minutes for that person.
  4. Schedule jobs against the day's available capacity and rebalance when the planner shows the day is overloaded.

Worked example

A worker has an illustrative 360 bookable minutes. Compare assigned visits against that capacity and rebalance the day when the planned work exceeds it.

This is an illustrative scenario. Use your own approved scope, quantities, rates and business rules.

Check the result

Review the total assigned workload, fixed commitments and travel assumptions with the actual schedule.

Limits and troubleshooting

Capacity is a planning input, not a measured productivity guarantee. Unexpected work or travel can still overload a day that initially fits the allowance.
