Add job photos, files and voice notes on mobile

Keep site evidence with the correct job and distinguish a queued upload from an uploaded document.

Before you start

Open the intended job and check its number, site and business before capturing evidence. Grant camera, photo-library or microphone permission only for the capture you intend. Follow your business rules for recording people, private premises and customer documents.

Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.

Step by step

  1. Open the job documents area. Use the progress-photo controls to capture or choose the relevant photos; check their before, during or after context rather than adding everything without a description.
  2. Use Add text note for a written site update. Include what changed, where it occurred and what action is needed. A note is not a customer-approved variation or a priced quote.
  3. For spoken context, enter a useful voice-note name and choose Record voice note. Stop the recording when finished and check the pending or uploaded record. Recording audio does not automatically generate a quote.
  4. For a plan, certificate or other document, choose Choose file and select the intended file. Review its name and the job it will attach to before proceeding.
  5. Inspect each pending-upload count and any error or uncertainty message. When connected, use the relevant retry control; if the message says the file may already be saved, check the job files before retrying.
  6. Once uploaded, open the document to confirm it is readable and belongs to the intended job. Wait for a photo upload to finish before trying to make it the job profile photo.

Worked example

A technician photographs the existing damaged fitting, records a short note about access and attaches the approved replacement specification. They confirm all three records appear on the correct job before telling the office the evidence is ready.

This is an illustrative scenario, not a customer testimonial.

Check the result

Check the upload status and reopen the actual file. A local thumbnail, recording or pending counter is not proof that another team member can retrieve the document.

Limits and troubleshooting

  • Opening uploaded job photos and video notes requires signal; the native screen does not promise those media files are stored offline. A cached job record is separate from its downloadable attachments.
  • If permission is denied, check the phone settings for the app. Preserve pending uploads when changing business or signing out, and inspect Sync centre before clearing app storage. Do not capture the same evidence repeatedly just because an upload acknowledgement is delayed.
  • The general Document vault and job attachment area have different contexts. Uploading a job file does not imply that it has been sent to the customer or shared outside the business.

Business settings in United States

  • Set your business country in Business settings before entering customer addresses or preparing documents. The country selected on the public website does not change an existing business.
  • Check the business currency (USD), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
  • Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.
  • The included plan allowances remain available. Additional Office-user, storage-block and credit-pack purchases are not yet configured in local currency; Australian add-on examples are not an offer to charge your account in AUD.
