Complete forms and compliance records on mobile

Fill required answers, attach evidence, record authorised signatures and verify the final submitted or issued state.

Before you start

Use a template approved for the actual work and jurisdiction. Confirm the job, site, equipment and template version before entering results. Your role must permit the record and any signature you provide; do not sign on someone else’s behalf.

Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.

Step by step

  1. Open the job’s Safety & compliance area for job-specific work, or the Compliance hub for the records your role can access. The hub separates Certificates, Custom forms, Prestarts, Registers and eligible Licences.
  2. Open the intended form or create a record from the appropriate template. Read the instructions and confirm the record identity before answering.
  3. Enter the required answers and actual observations. Attach the requested photos when connected, then check that the upload succeeded rather than assuming a selected image has reached the server.
  4. Check the required signer roles. The person authorised for a role uses Sign, enters their signature and selects Record signature. Resolve any Still required message before submission.
  5. Use Save to preserve draft answers. When the form is complete, use Submit, or Issue certificate for the certificate workflow. Submission saves and validates the current answers; a validation error leaves the draft for correction.
  6. Reopen the record and verify its submitted or issued status, signatures and evidence. If a submitted record needs correction, use Amend on the web to create a new version while preserving the original.

Worked example

A supervisor completes a commissioning form for a named asset, records real readings and attaches photographs. A missing required signature prevents submission until the authorised signer completes it; the supervisor does not mark the work complete merely because a draft exists.

This is an illustrative scenario, not a customer testimonial.

Check the result

Check the final record and its identity, not just a green control or saved draft. A prestart, custom form, PDF document and statutory certificate can have different completion requirements.

Limits and troubleshooting

  • Photo upload and final server validation need a working connection. If a submission fails, retain the draft, read the error and reopen the record before submitting again.
  • Submitted forms and issued certificates are locked. The native form screen directs amendments to the web; it does not silently rewrite the original.
  • Australian SWMS or certificate examples are not automatically valid in NZ, the US, Canada or the UK. Recording a certificate status does not lodge it with a regulator, prove an inspection took place or establish that the business holds a required licence.

Business settings in United States

  • Set your business country in Business settings before entering customer addresses or preparing documents. The country selected on the public website does not change an existing business.
  • Check the business currency (USD), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
  • Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.
  • Use forms, licence types and sign-off requirements approved for your country and the specific contract. Australian demonstration forms and SWMS terminology are examples, not certification that a document meets local law. Check the completed document and approval record before relying on it for site access.
