Log customer asset service and test results on mobile
Identify the customer asset, record the work actually done and check service, test and defect history separately.
Before you start
Use Assets for customer or site assets such as a serviced pump, not Equipment for the company gear allocated to a job. The asset register and full maintenance features require eligible Business or Enterprise access and enabled business features. Office service and management actions require the appropriate inventory-management authority. Field users only receive the permitted actions for assets they can access through assigned work or a valid asset tag.
Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.
Step by step
- Open Assets from Apps, or open the job’s site assets and choose Open asset register. Select the intended asset. Where Scan is offered, scan its QR or barcode tag, or type the tag code, then verify the resolved record before continuing.
- Check the asset name, customer, site, serial or tag, last service and next service date. Showing saved data is a cached view; refresh online before relying on current history. A tag match identifies the record, not the condition of the equipment.
- Where Log service is available, open it and check the asset again. Add the service note and optional linked job. This action records service now and advances the configured service schedule; it is not a form for backdating unrelated work.
- If the service sheet offers a meter reading, use the displayed unit and the actual reading. A lower reading requires a deliberate, audited meter correction where permitted. Do not select a correction merely to bypass a rejected value. Choose Log service once and read the outcome.
- For an inspection or test, use Record test result where offered. Enter the actual result, detail and readings with their units, and link the correct job if applicable. Choose Save test result. A service note and a test result are different records.
- If a defect needs recording, choose Mark failed where offered, enter the reason and appropriate severity, then Save failure. Follow the business’s isolation and escalation procedures; do not keep using an unsafe asset while waiting for a phone record to sync.
- Refresh the asset and inspect its service, Tests and Failures history. Confirm the recorded work and any changed due date. A later test or service does not by itself close an open defect; use the authorised resolution workflow and its required evidence when appropriate.
Worked example
An authorised user services a customer’s pump and records the work against that asset and job. A separate test exposes a defect, so they record the actual failed result and defect rather than treating the service entry as a pass. The office checks the repair and resolution record later.
This is an illustrative scenario, not a customer testimonial.
Check the result
Reopen the original asset online and confirm the history entry, job, readings and current defect state. A saved or queued message is not proof of a safe asset, completed repair, regulatory approval or a confirmed update on another device.
Limits and troubleshooting
- Service, meter, test and failure records can queue for sync. If the response is uncertain, inspect the original asset history and Sync centre before submitting the same work again. Do not clear the app’s pending work to remove an error. A queued test is not a confirmed pass, and a queued defect is not a substitute for immediately communicating a hazard.
- Photos and tag lookup need a connection. Cached text does not mean photographs are downloaded. Defect resolution requires an online confirmed response and its own permissions; it is not an offline way to clear a warning.
- Field permission to record an assigned asset’s test or defect does not grant asset creation, editing, service management or resolution. If a control is absent or refused, ask the owner to check the feature, role and job access rather than using a different asset.
- Read units from the actual asset and business settings; do not convert a service reading based only on the country shown in this guide. Recording a test does not establish a licence, statutory inspection or jurisdiction-specific certification. This workflow does not create an invoice or initiate a provider payment.

- Check the business currency (GBP), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
- Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.
