Manage service agreements and recurring visits on mobile
Review the agreement, generate and allocate visits, handle invoice tax review, and distinguish a temporary pause from ending future work.
Before you start
Use the intended business, customer and agreed service terms. Service agreements require the customer-experience capability on an eligible active plan; Free and Takeoff’s basic job/calendar access do not include them. Current role and invoice permissions still apply. An agreement is a schedule and billing arrangement, not customer acceptance of a one-off quote or payment received.
Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.
Step by step
- Open Service agreements from the menu, or Jobs and its Recurring filter, then choose the agreement. A contract parent opens the agreement overview; open an individual dated visit from its timeline to work on that visit.
- Review the customer, status, Cadence, Billing, Next visit and Visits done. Check the money section for the actual billing mode: Per visit, Per period or a prepaid block with visits used and remaining. Cached totals are not a fresh invoice or payment ledger.
- To create a new per-visit agreement where the native builder offers Recurring, select the real customer, enter the scope and reviewed line items or agreed price, and check REPEATS EVERY and any end date before Create recurring job. This creates an agreement and visit schedule while online, not a quote awaiting a Send action. Use the web workflow for other billing arrangements or terms not offered in this form.
- Use Generate on an existing agreement only when you need to extend its visit schedule and are connected. Read the count returned, including Already up to date — no new visits, and inspect the timeline. If the response is uncertain, refresh the existing agreement before repeating Generate or creating another agreement.
- Open the crew selector for the intended visit, choose the actual eligible Field members and save the selection. Review the visit’s date and assignees after sync. Editing one visit does not change every visit or establish that the assigned person is available or qualified.
- Complete actual visit work through that visit’s job workflow. In a prepaid block, completion can reduce the remaining visit count; do not mark work complete merely to change a billing counter. Check billed markers and remaining visits before further billing.
- When permitted, choose the action appropriate to the mode: Invoice unbilled visits, Invoice current period or Review pack invoice. Invoicing is online-only. If the app shows Review invoice taxes on the web, no invoice was created by that attempt: use Open tax review, sign in to the same business, review the lines and return to Refresh agreement after review.
- Open the returned or existing invoice and verify its period, visits, amounts, currency and tax before explicitly sending it. A pack can reopen its existing invoice. Creating or reviewing an invoice does not mean it was sent, paid or collected by a provider.
- Use Pause recurring job for a temporary pause and verify its saved status after sync. End recurring job stops future generation and the server removes future, not-started visits, including those scheduled for today; review that consequence before confirming. It does not refund payments, void past invoices or erase completed work. Resume or Reactivate is subject to current terms and access, and does not promise deleted visits are restored.
Worked example
An authorised coordinator opens an existing monthly service agreement, checks the next visit and assigns the intended crew. After actual work is complete, they review the correct billing action and any web tax handoff, then inspect the invoice before sending. A temporary interruption is paused rather than ended merely to hide it from the list.

Check the result
Refresh the original agreement while online and check its status, dated visits, crew, completed and billed records, remaining prepaid visits and actual invoice. Verify any customer payment in the payment ledger separately.
Limits and troubleshooting
- Status and visit edits can queue offline; a Will sync message is not final server acceptance. Agreement creation, Generate and invoice actions require a connection and are not queued. Preserve the original record and check its current state after an uncertain response instead of repeatedly creating visits or invoices.
- Older app wording in the End confirmation may say existing visits stay. The server removes today’s and future visits that have not started, while past, started and completed visits remain. Review the timeline first; choose Cancel if that consequence is not intended. Ending an agreement is not cancellation of the business’s AllQuote subscription.
- The app’s per-visit creation form does not author every web contract or tax option. US and Canadian invoice lines may need the web tax review. A credited pack, changed country or locked terms can refuse resumption, completion or invoicing; resolve the original agreement’s stated issue on the web rather than changing country or creating a duplicate to bypass it.
- Dates and cadence describe the agreement’s scheduled work; check the intended work-site date when travelling. Read the actual invoice’s currency and taxes rather than assuming a currency from a sample or phone locale. Card collection and automated messaging depend on separately enabled regional providers; this workflow does not promise either.

Business settings in New Zealand
- Set your business country in Business settings before entering customer addresses or preparing documents. The country selected on the public website does not change an existing business.
- Check the business currency (NZD), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
- Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.
