Maintain your Pricebook items

Maintains reusable material prices and supplier sources separately from physical stock quantities.

Use this guide for pricebook catalogue.

Before you start

Availability: Plan and role requirements vary. Enabled business features, role permissions, connected providers and supported devices may add requirements.

Documented roles: Owner, Office. A role name alone does not override the permissions set by your business.

Where to find it: Pricebook.

Have a current supplier source, SKU and unit basis ready. Check the business editing permission.

Using this guide in New Zealand

  • Choose your business country when creating a new account. For an existing business, check the country in Business settings before entering addresses or preparing documents. Some country changes are unavailable for existing businesses, even when new accounts can sign up in that country. Changing the public website region does not change your business settings.
  • Check the business currency (NZD), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
  • Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.

Step by step

  1. Open Pricebook and search for an existing item before adding another material with the same supplier or SKU.
  2. Review the description, unit, supplier, cost and any business override when adding or editing a row. Check pack quantities against the unit used in estimates.
  3. Use Advanced for supplier price-list scanning or CSV/spreadsheet column matching. Review the source rows and proposed matches before saving.
  4. Reopen the saved material and compare its source and price. Review reused prices when quoting; editing the Pricebook does not silently reprice an issued invoice or an accepted quote snapshot.
  5. Use Stock > Add item when creating inventory, and a stock movement or count when changing physical quantities.

Worked example

Review one fictional supplier row against its pack unit and cost, save a deliberate override and reopen it before reusing it in a quote.

This is an illustrative scenario. Use your own approved scope, quantities, rates and business rules.

Check the result

Reopen the original saved result, compare the intended business and key values, and read any refusal before repeating an action.

Limits and troubleshooting

A price entry does not receive stock, place an order or guarantee a supplier contract price.
