Offline work and Sync centre

Distinguish cached records, pending changes and confirmed server saves, and resolve failed sync before signing out.

Before you start

Open the records you expect to need while connected before leaving for a site. Device caching is not a complete copy of every business record. Keep the same business context while resolving pending work.

Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.

Step by step

  1. Open Apps → Sync centre, or use the header cloud-status control. Check the online/offline state, pending count and last sync information.
  2. When working without signal, read the screen feedback after each action. Cached reads and queued edits are different from an action confirmed by the server.
  3. Once connected, use Sync now. Inspect pending and failed resource groups rather than assuming the connection indicator means every change has completed.
  4. For a job with an uncertain creation result, use Check original save in the job-creation screen. Keep notes attached to the intended original or pending job instead of recreating it.
  5. Reopen changed records after sync and compare the saved values. Resolve any reported failure in the relevant workflow; repeatedly submitting a new record is not a substitute for checking the existing attempt.
  6. Before signing out, changing business, clearing storage or reinstalling, review pending changes and uploads. If sign-out warns about unsynced records, stay signed in and sync first unless you deliberately intend to lose those records.

Worked example

A technician records work at a site with poor coverage. The phone shows a pending change. Back online, the technician checks Sync centre, resolves any failure and reopens the record before treating the office copy as updated.

Check the result

Check pending and failed counts and the reopened record itself. A cached balance can be stale; verify current financial information online before taking action.

Limits and troubleshooting

  • Emailing or texting a quote, taking a card payment and generating a PDF require connectivity. Provider coverage and account access still apply when online.
  • Not every screen or file is available offline. A cleared cache cannot recover a file that was never downloaded. Do not sign out or reinstall to fix a queue without reviewing the unsynced-work warning.

Business settings in Canada

  • Set your business country in Business settings before entering customer addresses or preparing documents. The country selected on the public website does not change an existing business.
  • Check the business currency (CAD), time zone and document tax settings. Only enable tax collection if your business is registered and the settings match your requirements. Your customer invoice tax settings are separate from tax on your AllQuote subscription.
  • Screenshots use demonstration records. Their sample currency, addresses and tax amounts do not override your business settings.
  • Enter the complete street, locality, state or province where applicable, and postal code. If suggestions are unavailable, use manual entry and check the saved address. A saved address without verified coordinates should not be treated as a confirmed map pin or routing destination.
