Review and sign on to a SWMS or JSA on mobile
Read the actual method statement, record your own acknowledgement and check the current document and crew sign-on state.
Before you start
Safety records require an eligible plan, normally Team or above, with Safety enabled and access to the record. Job-attached records remain subject to job allocation for Field users. Use the method statement approved for the actual work and jurisdiction; an Australian SWMS example is not automatically an equivalent legal document elsewhere. Each worker records their own acknowledgement from their own account.
Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.
Step by step
- Open the intended job’s Safety & compliance area and select its SWMS or JSA. Check the job or task, date and document title. For a new record, use Add SWMS where offered and select a populated template appropriate to the work.
- Read the site-specific information and every activity, hazard, control, PPE and licence requirement. If the template has no method items, or the instructions need changing, arrange the appropriate review and editing on the web before signing. Do not sign a different record to clear a warning.
- At Sign on, check your own name and select the appropriate offered signer role. Draw your signature and tap Sign on to submit your acknowledgement. Choosing a role label does not grant that role’s authority.
- Wait for Sign-on recorded and check the crew acknowledgement or Signed on list. Drawing a signature on the screen is not a saved acknowledgement. Other crew sign on through their own accounts; do not type their names and sign for them.
- For a draft that you are authorised to activate, review any Still required message and use Activate only after the required information and signatures are in place. Check the resulting active state; acknowledgement and activation are separate actions.
- An active or signed statement is locked against content editing, but eligible crew can still sign on. An archived statement is closed to new sign-ons. Reopen the current document and check your own recorded acknowledgement before relying on the app’s status.
Worked example
A worker opens the statement for the allocated task, reads the controls and records their own sign-on. A later-arriving colleague uses their own account to acknowledge the same active statement. If the work changes, they seek a reviewed current statement instead of treating an earlier signature as approval for the new work.

Check the result
Confirm the actual document and your acknowledgement online. Signed or Active describes the record; it does not certify that the site is safe, the controls are being followed, everyone has attended, or legal requirements have been satisfied.
Limits and troubleshooting
- Loading, signing and activation need a connection. SWMS sign-on is not queued as an offline signature. If the reply is lost, reopen the original statement and check your acknowledgement before signing again; do not create another statement just to recover an uncertain response.
- If the statement changed while open, the app reloads it for review. Read the new content before deliberately signing again. Do not assume a signature prepared for the old content acknowledges the new version.
- If no populated template is available, create or complete the appropriate template in the authorised web workspace, then return. Signed or archived history must not be overwritten to make a new task look acknowledged.
- If the business, job access or role changes, stop and reopen the intended authorised record. A due or blocking status depends on business configuration and the work context; opening this guide cannot remove it. There is no regulator submission or payment-provider action in this sign-on flow.
